Privacy Policy

Last updated October 2026. This explains what we collect, why, and who can see it — particularly for scholarship applications, where the information involved is sensitive.

1. Who We Are

Shela Quest Foundation ("Shela Quest Foundation", "we", "us") is a Registered Non-Governmental Organization (NGO) based in Lagos, Nigeria. This policy covers information collected through https://shelaquestfoundation.org, including our scholarship application system, volunteer and contact forms, and donation process.

2. What We Collect

Scholarship applicants (School Tuition, WAEC/NECO, and JAMB support forms) — this is the most sensitive category we handle:

  • Account details: full name, email address, phone number
  • Personal information: passport photograph, date of birth, gender, state of origin, home address
  • Parent/guardian details: name, phone number, email address
  • Household financial information: household size, annual income (optional), a written statement of financial need, and the amount of support requested
  • Educational details relevant to the specific form: school/institution name and contact details, admission or matriculation number, class/level, subject combinations, or (for JAMB) National Identification Number (NIN), preferred course and institutions
  • Supporting documents you upload: fee bills, academic results, admission letters, student ID cards, birth certificates, or NIN slips, depending on the form

Everyone else — contact form, volunteer applications, and newsletter sign-ups collect only what's on the form itself (typically name, email, phone, and your message).

Donors — name, email, phone, and donation amount. We do not process or store card/bank details ourselves; online payments are handled directly by our payment processor (Paystack).

3. Children's Data

Many scholarship applicants are minors. Our system requires a parent or guardian to create the account and complete the application on the student's behalf, and to sign a declaration confirming the information is accurate. We do not knowingly allow a minor to submit an application without a parent/guardian's involvement.

4. Why We Collect It

  • To determine eligibility and genuine financial need for scholarship support
  • To verify the information provided — including contacting the school or exam body named in an application — before any funds are committed
  • To make payments directly to a school, exam body, or (for JAMB) to register and pay on the applicant's behalf on the official JAMB portal
  • To communicate with you about your application's status, and to follow up with returning beneficiaries in future terms
  • To respond to volunteer, contact, and donation inquiries
  • To report in aggregate, anonymized form on our impact to donors, partners, and the public — we never publish an individual applicant's personal or financial details without their explicit consent

5. Who Can See It

Access to scholarship application data is restricted by role within our internal system:

  • Verification Officers see applications awaiting verification, to confirm the details and documents provided
  • Scholarship Committee members see verified applications, to assess and score them
  • Board of Trustees (BOT) members see committee-recommended applications, to make the final funding decision
  • Administrators can access the full system for operational and support purposes

We do not sell, rent, or share your personal information with third parties for marketing purposes. We only share what's necessary with the specific school, exam body, or JAMB portal named in your own application, in order to verify it and deliver the support you applied for.

6. How We Protect It

Uploaded documents are stored outside the public web directory and can only be viewed by the applicant themselves or by staff reviewing that specific application. Accounts are password-protected, and staff accounts can additionally enable two-factor authentication. All administrative actions on an application are logged for accountability.

7. How Long We Keep It

We retain scholarship application records, including for unsuccessful applications, for as long as reasonably needed for program record-keeping, reporting to donors/partners, and to evidence prior support if a beneficiary applies again. You can ask us to delete your account and application data at any time (see Section 9) — an applicant can also delete their own draft or in-review application themselves at any point before a funding decision is recorded, directly from their account.

8. Cookies

We use only a session cookie required to keep you signed in while you use the site — no third-party advertising or tracking cookies.

9. Your Rights & Contact

You can request a copy of the information we hold about you, ask us to correct it, or ask us to delete your account and application data, by contacting us at info@shelaquestfoundation.org. We'll respond within a reasonable time.

For anything else, reach us via our Contact page or at Plot 12, Community Road, Ikeja / Lagos Mainland, Lagos State, Nigeria.
